Mail Service Assistant Vacancy – Group Facilities (Johannesburg)

Position Overview

We are seeking a dedicated and reliable Mail Service Assistant to join our Group Facilities Department. The role is based at the Clicks Regional Office in Johannesburg and reports directly to the Administrative Assistant.

This position plays a vital role in ensuring the efficient handling, distribution, and coordination of all mail, courier, and facilities-related services within the organisation.


Job Purpose and Key Objectives

The successful candidate will be responsible for the receiving, handling, sorting, and delivery of all mail-related items. This includes incoming and outgoing mail, registered mail, courier deliveries, faxes, supplies, and loading bay activities.


Key Responsibilities

Incoming Mail Duties

  • Daily sorting of all incoming mail items
  • Handling of registered mail on a daily basis
  • Processing and distribution of all incoming faxes
  • Receiving, sorting, and managing courier deliveries
  • Delivering mail to the relevant departments
  • Performing ad hoc incoming mail tasks as requested

Outgoing Mail Duties

  • Collecting outgoing mail from all departments
  • Sorting and processing all outgoing Post Office and external mail
  • Handling courier parcels and registered outgoing items
  • Executing ad hoc outgoing mail tasks as required

Dry Cleaning Services

  • Receiving and dispatching dry cleaning items for staff
  • Completing all related documentation accurately
  • Accepting and recording payments for dry cleaning services
  • Liaising with the dry cleaning collection team

Loading Bay and Receiving Duties

  • Receiving all deliveries and recording them in the relevant registers
  • Distributing mail house items and supplies daily
  • Checking seals on incoming rolltainers
  • Ensuring deliveries are sent to the correct departments

Policies, Procedures, and Compliance

  • Adhering strictly to Health and Safety policies
  • Maintaining high standards of work quality
  • Reporting any discrepancies or concerns to the supervisor
  • Ensuring full compliance with all company policies and procedures

Minimum Requirements

Qualifications and Experience

  • Matric (Grade 12)
  • 2–3 years of relevant experience in a similar environment

Skills, Abilities, and Job Knowledge

  • Ability to operate mailroom equipment and related software
  • Customer service experience
  • Understanding of Service Level Agreements (SLAs)
  • Knowledge of mailroom processes and procedures
